Terms and conditions

1. Conclusion of the contract and services provided

All reservations must be confirmed in writing.
The scope of services provided by Best of Tours Indonesia is limited only to the description of these services, which is presented in the written booking confirmation by Best of Tours Indonesia. Additions or modifications to these services require a written confirmation from Best of Tours Indonesia to be applicable.

2. Booking and Payment

To confirm a booking, a 25% non-refundable deposit is required within 10 days after receiving booking confirmation, payable by bank transfer in USD or EUR. The remaining balance must be paid 65 days before arrival.
These conditions may be modified by  Best of Tours Indonesia according to the conditions of certain suppliers.
To ensure timely delivery of services, Best of Tours Indonesia reserves the right to cancel bookings if full payment is not received by the due date. In this case, cancellation fees may apply.
Travel documents will only be sent after receipt of full payment. The customer will be held liable for consequences or damages resulting from the late receipt of these documents, due to delays in payment.
Best of Tours Indonesia is responsible for the fees charged by its own bank for payments received. However, the client is responsible for any fees imposed by their bank or any intermediary banks involved in the payment process.

3. Cancellation Policy

Best of Tours Indonesia will charge the following fees for canceling confirmed travel services:
– More than 65 days before the arrival date = no cancellation fees will be charged, except for the non-refundable deposit
– Between 65 and 30 days before the arrival date = 50% cancellation fee
– Less than 30 days before the arrival date = 75% cancellation fee
No-show (failure to show up) = 100% cancellation fee
Cancellations made after this period may be subject to supplier penalties or charges.

4. List of participants

A provisional room allocation will be required 6 weeks before the client arrival date, in order to transmit it to hotels before the cancellation deadline. The final list of names must be provided at least 35 days before the arrival date of the group. Changes or cancellations made less than 35 days before the group arrival date will not be accepted and cancellation fees may apply.

5. Prices and Currency

All prices are quoted in USD or EUR and may be adjusted in the event of significant exchange-rate fluctuations or supplier cost changes. Taxes are included unless stated otherwise. Any applicable bank transfer fees must be covered by the client.

6. Role of the Company

Best of Tours Indonesia operates as a local Destination Management Company (DMC), organizing and coordinating travel services either directly or through trusted local partners.
While the Company cannot be held legally responsible for delays, accidents, losses, or damages caused by third-party providers or force majeure, we are committed to minimizing any disruptions and will work closely with our trusted partners to find solutions.
In case of any disruptions, our team will always strive to provide an alternative solution, ensuring minimal inconvenience to our clients.

7. Insurance

Best of Tours Indonesia maintains professional liability insurance in compliance with Indonesian travel regulations. 
We strongly recommend that all travelers obtain personal travel insurance covering trip cancellation, medical expenses, lost baggage, and accidents.

8. Passports, Visas, and Health

Travelers are responsible for holding valid passports and visas and for complying with all entry and health requirements for Indonesia.
Regulations may change, so please verify the latest information with relevant embassies or Indonesian authorities before traveling.

9. Data Protection

The Company collects only the personal information required to process and deliver travel services (such as names, contact details, and passport data). This information is stored securely and shared only with authorized suppliers directly involved in the traveler’s arrangements. Best of Tours Indonesia never sells or shares client data for marketing purposes.

11. Modifications to the General Terms

Best of Tours Indonesia reserves the right to modify these Terms and Conditions at any time.
The version in effect at the date of booking will apply to the relevant reservation.

12. Governing Law and Jurisdiction

These Terms and Conditions are governed by Indonesian law. Any disputes shall be submitted to the competent courts of Indonesia.
Nevertheless, the Company will always strive to resolve concerns amicably and with understanding, maintaining transparent communication with all clients and partners.
